The Dixie Junior Livestock Show ("we", "the show", "DJLS") is a non-profit youth livestock event. We collect personal information from exhibitors, their parents/guardians, and buyers strictly to run the show. This page explains what we collect, why, who sees it, and how to ask us to delete it.
Information we collect
From exhibitors and their parents/guardians
- Exhibitor information: first name, last name, grade, club (4-H or FFA), t-shirt size.
- Parent / guardian information: name, phone, email, mailing address.
- Animal information: species at registration; tag number, weight, classification, and placing at the show.
- Consent record: the timestamp and parent name from your registration consent checkbox.
- Payment information: processed by Stripe. We never see or store credit-card numbers — we only store a Stripe reference ID for receipts and refunds.
From buyers
- Company / business name, contact person, phone, email, mailing address.
- Paddle number assigned at the sale, transactions you sign for, and amounts owed/paid.
Automatically
- We log staff access to exhibitor records inside our internal application (who looked at what, when) as an audit trail. We do not track or profile public visitors to this website.
Why we collect it

Who sees your information
- Show committee and back-office volunteers — to administer the show.
- Buyers — receive a thank-you card from the exhibitor whose animal they bought, which includes the kid's first name and last name only. Buyers do not receive home addresses, phone numbers, or email addresses of exhibitors.
- Exhibitors / their families — receive the buyer's company name and contact person for thank-you-card purposes.
- Stripe — processes payments according to their own privacy policy.
- QuickBooks — used for our accounting; only buyer billing information (no exhibitor data) is exported.
We do not sell, rent, or share your information with any third party for marketing purposes. Sponsors, insurance companies, and breed-related businesses do not receive exhibitor or buyer contact information from us.
Public information
By participating in the show, the following is public information that may be posted on this website, our Facebook page, in printed programs, and in press releases:
- Exhibitor first name and last name
- Grade, club, and division
- Animal species, weight, class placing, and ribbon
- Sale prices, including the exhibitor's name and the buyer's company name
- Photos and videos from the show grounds
If you do not want your child's name to appear in publicly-posted sale results, contact the show committee in writing before show day and we'll arrange a private listing.
Photos and media
We take photos and video at the show for use on our website, social media, and printed materials. By participating, you acknowledge that you may appear in these. You can opt out of being photographed by contacting the show committee in writing before the event at djlivestockshow@gmail.com; we will do our best to honor opt-outs but cannot guarantee 100% removal from group photos.
How long we keep your information
- Show records (exhibitor / buyer / animal / transaction data) are retained as long as the show needs them for historical reporting and year-over-year buyer relationships.
- Stripe payment records follow Stripe's retention policy.
- Audit logs (staff-access logs) are retained for one year then purged.
- You can request deletion of your records at any time by emailing djlivestockshow@gmail.com. We will delete or anonymize your record within 30 days, with the exception of records we are legally required to keep (financial records for tax purposes are retained per IRS rules).
How we protect your information
- All traffic to this website is encrypted with HTTPS.
- Internal staff access requires a login and is logged for audit.
- The exhibitor-registration form is rate-limited and validated to prevent abuse.
- Payment information is handled directly by Stripe; we never receive raw card numbers.
Children's privacy
This show exists to serve youth aged 8–18 in Washington County 4-H and FFA. We collect information about minors only with the consent of a parent or legal guardian, captured at registration. Parents can request to see, correct, or delete their child's information at any time by emailing djlivestockshow@gmail.com.
Changes to this policy
If we update this policy, we'll post the new version here with an updated "last updated" date. Material changes (new categories of data collected, new third-party sharing) will be announced to registered families by email.
